Apex Inspectors ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application and web platform. Please read this policy carefully.
2. Information We Collect
We may collect the following types of information:
- Personal Information: Name, email address, phone number, and mailing address provided during registration or appointment booking.
- Appointment Data: Property addresses, inspection types, scheduling details, and related notes.
- Payment Information: Payments are processed by our payment providers. On the web, payments are processed through Stripe. On Apple iOS devices, subscription purchases may be processed through Apple In-App Purchases. We do not store full credit card numbers on our servers.
- Photos and Media: Photos taken or uploaded during inspections are stored securely and associated with your appointment record.
- Location Data: With your permission, we access your device's location to assist with route planning and address verification.
- Usage Data: Information about how you interact with the app, including device type, operating system, and feature usage.
3. How We Use Your Information
- To schedule, manage, and complete property inspections
- To communicate appointment confirmations, reminders, and updates
- To process payments and send invoices
- To generate inspection reports (including AI-assisted drafts that the inspector reviews and approves)
- To improve our services and app functionality
- To comply with legal obligations
4. Sharing of Information
We do not sell your personal information. We may share data with:
- Assigned Inspectors: To fulfill your inspection appointment.
- Payment Processors: Stripe (web) and Apple In-App Purchases (iOS) process payment transactions securely.
- Insurance Companies / Adjusters: Only when you provide this information as part of an insurance claim booking.
- Service Providers: Third-party vendors who assist in operating our platform under strict confidentiality agreements.
- Legal Requirements: When required by law or to protect the rights and safety of our users.
5. Data Retention & Account Deletion
We retain your personal data for as long as necessary to provide our services and comply with legal obligations. Inspection records and reports are retained for a minimum of 3 years.
You can delete your account and associated data at any time, directly in the app from Profile → Danger Zone → Delete Account. Deletion is permanent: it erases your appointments, inspection reports, photos, payment and pay records, mileage logs, expenses, inspection sessions, team messages, notifications, availability settings, and saved integration connections, and signs you out immediately. Certain records may be retained where required by law.
6. Device Permissions
The app requests the following device permissions, each only with your consent and only for the stated purpose:
- Camera: Used to capture inspection photos directly within the app so they can be attached to the inspection report.
- Photo Library (Photos): Used to select and upload existing photos from your device to attach to an inspection report.
- Location: Used to plot your starting point for daily route planning, to verify property addresses, and to estimate travel distance to appointments.
- Microphone: Used to record voice notes and captions for inspection photos when you choose to dictate them.
You can withdraw any of these permissions at any time in your device settings.
7. Security
We implement industry-standard security measures including encrypted data transmission (HTTPS/TLS), secure cloud storage, and access controls to protect your information. However, no method of transmission over the internet is 100% secure.
8. Your Rights
Depending on your location, you may have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data (also available in-app, see Section 5)
- Opt out of marketing communications
- Data portability

9. Children's Privacy
Our app is not directed to children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us immediately.
10. Inspection Reports & AI Assistance
Apex Inspectors provides inspection documentation software. We do not perform inspections and we do not render professional opinions or conclusions about a property. All observations, findings, conclusions, and recommendations in any report are the professional work product and sole responsibility of the named inspector, not of Apex Inspectors.
Some content in a report (such as narrative summaries and photo captions) may be drafted with AI-assisted tools. All AI-generated content is provided as a draft only. The inspector reviews, edits as needed, and approves all AI-generated material before the report is finalized and sent. The inspector is solely responsible for its accuracy.
An inspection reflects conditions observed on the date of inspection only and is not a guarantee or warranty of future condition.
11. Inspector Credentials
Licenses, certifications, and qualifications displayed for an inspector in the app are self-reported by that inspector. Apex Inspectors does not verify, validate, or endorse any inspector license, certification, or qualification, and makes no representation regarding their accuracy or current standing. You are responsible for confirming an inspector's credentials directly with the relevant issuing authority before relying on them.
12. Third-Party Trademarks
All third-party product and company names mentioned in the app, on our website, or in our marketing materials — including but not limited to InterNACHI®, Stripe®, Apple®, Hover®, Roofr®, Xactimate®, Symbility®, Google®, and any integration partners — are trademarks or registered trademarks of their respective owners. Use of these names, logos, or marks does not imply affiliation with, endorsement of, or sponsorship by those owners. All rights in such marks belong to their respective owners.
Where Apex Inspectors is an authorized vendor or partner of any third party, we display that status only to the extent actually granted by our agreement with that party, and we do not represent any relationship beyond what that agreement expressly permits.
13. App Privacy (Data Practices Summary)
For app store disclosure purposes, the data we collect and its use is summarized below:
- Data linked to you: Name, email, phone, appointment details, inspection reports, and photos.
- Data used for product functionality: Scheduling, navigation/route planning, report generation, and in-app messaging.
- Data used for account management: Account creation, profile, and in-app account deletion.
- Data not collected: We do not collect data for third-party advertising or sale.
- Purchases: Subscription purchases made through Apple In-App Purchases are handled by Apple; we receive only transaction confirmation, not your payment card details.

We may update this Privacy Policy from time to time. We will notify you of significant changes by updating the date at the top of this page. Continued use of the app after changes constitutes acceptance of the updated policy.
